1099s: Who Needs Them and Why They Matter

When tax season rolls around, 1099s are one of the most common tasks that farmers deal with. They can be easy to overlook and get wrong. It gets more complicated as you’re juggling contractors and seasonal help throughout the year. In this post, we’re jumping into 1099s and the important deadlines you’ll want to keep in mind.
1099s: Who Needs Them and Why They Matter
If you pay independent contractors (not employees), you may need to issue 1099-NEC forms. In general, you must send a 1099-NEC to anyone you paid $600 or more for services, including:
- Custom operators
- Consultants, mechanics, or bookkeepers
- Farm labor only if the worker truly qualifies as an independent contractor
- Not everyone paid as a “contractor” legally qualifies as one. Worker misclassification is common in agriculture and can create serious issues if handled incorrectly.
- You typically do not issue 1099s for:
- Payments to corporations (with some exceptions)
- Payments made by credit card or third-party processors like PayPal
Two important exceptions to the “Corporation” rule: You must issue a 1099 for attorney fees and medical/veterinary payments, even if the provider is incorporated. If you paid your vet over $600, they likely need a form (usually a 1099-MISC for medical services).
Deadlines Matter
- 1099s must be sent to contractors and filed with the IRS by January 31 (February 2 in 2026).
- W-2s for employees are also due January 31 (February 2 in 2026).
- Missing these deadlines can trigger penalties, even if the rest of your tax return is accurate.
The Easiest Way to Make 1099s Less Painful
The key to stress-free 1099s is preparation, not scrambling in January.
Best practices include:
- Collecting W-9s before paying contractors
- Tracking payments consistently throughout the year
- Keeping contractor and employee payments separate
- Using accounting or payroll software that supports 1099 reporting
- These systems work best when the information is entered correctly all year long.
Where Bookkeeping Saves You (Again)
If you haven’t noticed a recurring theme, it’s this: keeping your books up to date makes everything easier. When your books are maintained monthly, you can:
- Track who you paid and how much throughout the year
- Identify the contractors who need 1099s
- Reduce errors and missing information
- Make tax prep smoother and faster
Taxes Are a System, Not a Test
1099s are one of those tasks that seem small… until they aren’t. Missing one, filing late or incorrectly can be a headache that goes beyond tax season. This is why keeping track of 1099s throughout the year is easier than trying to piece them together.
